The System & Working Groups

The Student Information System (SIS) is an Oracle/PeopleSoft product which serves as the enterprise-wide transactional software that houses student data.  It is the infrastructure of UW Madison’s student administrative services (e.g., admissions, financial aid, student financials, course, and student data).

SIS is managed by the Office of the Student Information System in collaboration with SIS Working Groups.

Working Groups

  • Campus Community

    Chair

    Description
    Works with UW-Madison data that is shared among all Student Information System working modules, such as: name, address, birthdate, relationships, service indicators, student groups, etc., to ensure common policies and maintain standardization.

  • Change Management and Upgrade Facilitation (CMUF)

    Description
    Manages changes to the Student Information System production environment by reviewing and approving customizations.

  • Joint Admissions Committee (JAC)

    Description
    Discusses and communicates changes, issues, policies and procedures affecting all admitting offices and their Student Information System processes.  This group encourages a representative from each campus admitting office to attend.

  • Maintenance Team

    Description
    Reviews, plans, and schedules system maintenance.  Analyzes and creates Student Information System maintenance processes and procedures.

  • Module Management Team (MMT)

    Description
    Shares information on projects, initiatives, and issues that affect the Student Information System (SIS) across campus.  Develops policies and procedures for SIS.

    Consists of leads for the various modules represented within the Student Information System: Student Records (records, curricular and enrollment), Admissions (continuing studies, undergraduate and graduate), Student Financials, and Financial Aid.  The committee also includes representation from DoIT security and DoIT developers.

  • Records Retention

    Description
    Implements and maintains the UW-Madison Student Undergraduate and Graduate Records and University Financial Aid Records retention rules within the Student Information System and ImageNow systems.

  • Security Team

    Chair

    Description
    Assists the Office of Cybersecurity with the development of policies, procedures, processes, and guidelines for the administration of the Student Information System security.  They provide critical functional perspective and help to ensure that security is administered in a manner that is consistent, repeatable, and documented.

  • Self Service Team

    Description
    Manages the self service access for students, instructors, and advisors. The group is comprised of cross functional/technical members.
